Webmail

There are two webmail clients available for use on our servers:

  • Webmail Classic – an in-house-developed webmail client.
  • Roundcube – а popular open-source webmail client that is configured to match the rich set of features available in Webmail Classic.

You can find more information on how to access your mailboxes via the supported webmail clients in the Logging into webmail article.

Here is a short overview of what you can achieve with these webmail clients:

  • Read, compose, forward, save, edit, and delete messages.
  • Add, edit, group, and delete address book contacts.
  • Add, modify, share, and delete calendars and todos (available only in Roundcube).
  • Enable, edit, and disable autoresponders.
  • Enable and disable anti-virus protection.
  • Enable and manage spam protection settings.
  • Add and remove email addresses or domains to/from white and blacklists.
  • Add and remove email (header) filters to selectively junk, move to another folder, forward, or delete messages based on the contents of their headers.
  • Change your mailbox password.

You can access the Roundcube and Webmail Classic webmail clients via any modern web browser.

If your domain name is pointed to our servers, you can access the webmail clients by opening any of the following URLs in your browser:

  • http://mbox.example.com
  • http://mailbox.example.com
  • http://webmail.example.com
  • http://example.com/webmail

Note: You need to replace example.com with your domain name.

If your domain name is not pointed to our servers, you can use the following server URL:

  • https://mbox.your_server.com

Note: You need to replace your_server.com with your server hostname. You can find your server hostname listed in the upper left corner of your hosting Control Panel under Server name.

You can select which webmail client you wish to access via the Webmail App drop-down menu on the login screen. If you wish to access a specific webmail client directly, you can do that by adding /roundcube or /classic after the webmail client URL. For example, to access Roundcube directly, you can use http://mbox.example.com/roundcube, and to access Webmail Classic directly, you can use http://mbox.example.com/classic.

Since Roundcube and Webmail Classic allow you to use e-mail accounts in a web browser, they have very similar user interfaces. You can find an overview of the user interface for each of them below:

Roundcube

The user interface of the Roundcube webmail client is divided into functional parts which are explained below:

Roundcube user interface

  1. Application Tasks

    The main menu on the left in the Elastic theme and in the page header in the Larry theme provides different main tasks such as MailContacts, CalendarsSettings, etc. Switching from one task to another will reload the screen with a specific view for the selected task. Task screens can be opened in individual browser windows or tabs if you do not wish to constantly switch between different tasks.

  2. Status Display

    This area of the screen is dedicated to display status notifications (e.g. confirmations, warnings, errors) about the success or failure of the operations executed in Roundcube. A notification will also be displayed, if Roundcube is performing an operation or loading data in the background.

  3. Toolbar

    The top toolbar is always located above the content area allowing you to perform various actions, depending on what is being shown or selected in the content part of the window. If an action is not available for the current selection, the respective button will be grayed out in the toolbar. If a button shows a downward pointing arrow on its right side, you can click on it to see variations of the default action for the respective button.

  4. List Operations

    The vertical ellipsis symbol (⋮) in the header area of a list in Elastic theme or the buttons in the footer area of a list in the Larry theme allow you to perform actions specific for the list. In the Larry theme, the + button allows you to add a new entry to the list, and the gear icon button opens a menu with additional actions.

  5. Search Box

    If the currently selected task allows searching for data (e.g. for email messages or contacts), a search will be located in the header area of the specific list in the Elastic theme or the upper right corner above the main content area in the Larry theme. Some search options may be hidden in a drop-down menu that will open after you click on the downward pointing arrow in the search box.

Webmail Classic

The Webmail Classic user interface is divided into the following functional parts:

Webmail Classic User Interface

  1. Main Menu

    The Main Menu allows you to open your Inbox, compose new messages, manage your address book, configure various settings, open the integrated FAQ section, and log out of Webmail.
  2. Message List

     

    The Message List section allows you to view a list of the messages in a specific folder from the Folder List or the messages from a Search result. You can read a message by clicking on the sender’s name/e-mail address or on the subject of the message. You can select messages from the Message List to perform Message List Operations. To select a specific message, select the checkbox next to that message. Selecting the topmost checkbox will select all messages on the specific Message List page.

    Depending on the number of items per page setting and the total number of messages, the Message List may have multiple pages of messages. You can scroll through pages by clicking on the specific page number from the top or bottom of the Message List.

  3. Message List Operations

    The Message List Operations menu allows you to perform various operations for the selected messages on the specific Message List page.

    Here is a full list of the available Message List Operations:

    • Select allows you to select multiple messages at once. The available options are: all (default), none, read, and unread.
    • Delete allows you to delete the selected messages (move them to your Trash folder, delete them permanently, or mark them as deleted depending on your message deletion settings).
    • Mark as Read allows you to mark the selected messages as read.
    • Mark as Unread allows you to mark the selected messages as unread.
    • Add to Address Book allows you to add the senders of the selected messages to your address book.
    • Forward allows you to forward the selected messages to another recipient.
    • Mark as Spam allows you to move the selected messages to your Junk Mail folder.
    • Put in Folder allows you to move the selected messages to another folder.
    • Folder Actions allows you to purge (compact) the selected messages. To purge an entire mailbox folder, please refer to our Compacting (purging) mailbox folders article.
    • Show all messages allows you to filter the messages displayed in the Message List. The available options are: show all messages (default), read, unread, replied, and not replied.

  4. Folder List (Folder Status)

     

    The Folder Status section manage them. Next to the name of each folder, you will find the number of unread messages and the total number of messages in that folder. The bar below each folder represents the percentage of unread messages in the folder. You can click on the name or the bar below a specific folder to view the messages in it.

    At the bottom of the Folder List, you can see the usage of disk space and number of messages in percentage from the current mailbox quotas. To change the quota for a specific mailbox, please refer to our Modifying a mailbox quota article.

    The Inbox, Drafts, Junk Mail, Sent, and Trash folders are system folders. They are created automatically and are always shown at the top of the Folder List.

  5. Search (Keyword Search)

     

    The Keyword Search form allows you to quickly search for messages that contain specific words or phrases. You can choose to search a specific or all mailbox folders. For more details on the available search settings, please refer to our Searching Messages article.
  6. Theme

     

    The Theme drop-down menu allows you to change the color scheme of the Webmail Classic user interface based on your personal preference.

The Roundcube webmail client is available in 80+ languages, and Webmail Classic is available in English, Bulgarian, Chinese, French, German, Romanian, Serbian, Slovenian, and Spanish. There are two themes available for Roundcube (one of them is responsive) and ten themes for Webmail Classic.

The process of changing the theme and language will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

To change the language and theme in Roundcube, you need to open the Settings task from the main menu, select the Preferences setting, and select the User Interface option from the preferences list.

You can change the language via the Language drop-down menu from the Main Options sub-section. Roundcube will try to select the language automatically for you when you log in based on your computer’s operating system language.

To change the theme in Roundcube, you need to use the radio button from the Interface Skin sub-section.

Webmail Classic

To change the language in Webmail Classic, follow these steps:

  1. Select the Options tab from the main menu.
  2. Select the General Options option.
  3. Choose your preferred language from the Interface language drop-down menu at the bottom of the page.
  4. Finally, click on the Update button to apply the new language.

You can change the theme in Webmail Classic by using the theme drop-down menu located in the top-right corner of the screen. This menu is available on all Webmail Classic pages.

The process of composing new messages will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic
Roundcube

You can compose a new message in Roundcube by opening the Compose task from the main menu.

Enter at least one recipient address (or select them from your address book), add a subject and the text for your message, and click on the Send button from the top toolbar when you are ready to send the message.

If the message is not yet complete, and you would like to finish and send it at a later time, you can save it to your Drafts folder via the Save button from the top toolbar.

Note: While composing a message, copies are periodically (every 5 minutes by default) saved to the Drafts folder to avoid unintentional loss. In case the session terminates unexpectedly or your device or browser crashes, a copy of your message will be available in the Drafts folder. Webmail Classic

To compose a new message via Webmail Classic, click on the Compose tab from the menu. A new Compose New Mail Message page will open where you will be presented with the following fields:

  • From allows you to specify your display name and e-mail address which the recipient will see in their mail program.
  • Address Book allows you to select a single or a whole group contacts from your address book as recipients. If you wish to send the message to multiple address book contacts, you should click on the Multiple link next to the Address Book field. A new page will open where you can select your address book contacts and add them to the To:Cc:, or Bcc: fields.
  • To allows you to manually enter the e-mail address of the recipient. You can add multiple recipients by separating their e-mail addresses with the comma (,) or semicolon (;) symbols.
  • Cc allows you to manually enter an additional recipient that will receive a copy of the message. You can add multiple recipients by separating their e-mail addresses with the comma (,) or semicolon (;) symbols. This field is optional.
  • Bcc allows you to manually enter an additional recipient that will receive a copy of the message without disclosing their e-mail address to the other recipients. You can add multiple recipients by separating their addresses with the comma (,) or semicolon (;) symbols. This filed is optional.
  • Subject allows you to specify the subject of the message. This field is optional, but we would advise that the messages you send always include a subject.
  • Message allows you to enter the text (body) of the message. This filed is optional, but we would advise that the messages you send always include message text.

    The Message field has two (Plain text and HTML) modes. You can switch between these modes via the Switch to HTML mode and Switch to Plain text mode buttons from the Options list above the Message field. When composing messages, plain text mode is used by default.

    When composing messages in plain text mode, there would be no automatic filtering applied, so the recipient will see exactly the same (plain) text that you see. Two additional options will appear in the Options list when composing messages in plain text mode – Wrap Textbox and Force HTML tags. The Wrap Textbox option allows you to wrap the message text in the Message field. The Force HTML tags option allows you to get a plain text message parsed as HTML code, thus sending an HTML message without switching to HTML mode.

    When composing messages in HTML mode, a rich text (WYSIWYG) editor will appear in the Message field that will allow you to format the message with various HTML elements. If the recipient’s e-mail software application supports HTML formatting (almost all modern e-mail software applications support it), they will see the message as it appeared in the rich text editor. However, if the e-mail software application of the recipient does not support HTML formatting, the message will be displayed as plain text, and the HTML variant of the message will be attached as an HTML file.

Once you specify the recipient(s), subject, and body of the message, click on the Send button to send the message. If you would like to save the message for later use, you should click on the Save Draft button, and the message will be saved in the Drafts folder of your mailbox.

By default, sent messages will be saved in the Sent folder of your mailbox. If you do not wish to keep a copy of a message in the Sent folder after sending it, you can deselect the Save Message to Sent Folder checkbox from the Options list when composing the message.

The process of reading messages will vary depend on your webmail client of choice:

  • Roundcube
  • Webmail Classic
Roundcube

You can open a message for reading quite easily in Roundcube. All you need to do is:

  1. Open the Mail task from the main menu.
  2. Select the folder containing the specific message from the folder list.
  3. Click on the specific message from the message list. If you double-click on the message, the folder list will not be displayed, and you will be able to view the message content more easily.

When you read a message, a toolbar will appear at the top that allows you to perform various actions related to the selected message (replying, forwarding, deleting, etc.).

Webmail Classic

To read a specific message in via Webmail Classic, you should:

  1. Select the Inbox tab from the main menu.
  2. Click on the folder containing the specific message from the Folder Status section (folder list).
  3. Click on the sender’s name/e-mail address or on the subject of the message.

A new Read Message page will open where you will find several buttons to perform different actions:

  • Reply allows you to compose a reply to the sender;
  • Reply All allows you to compose a reply to all email addresses from the From, To, and Cc headers;
  • Forward allows you to forward the message to another recipient;
  • Forward as Attachment allows you to forward the whole message to another recipient as an attachment;
  • Delete allows you to delete the message (move it to your Trash folder, delete it permanently, or mark it as deleted depending on your message deletion settings);
  • Print Preview allows you to open the message (including its headers) in a format suitable for printing;
  • Source allows you to view the complete message source;
  • Download allows you to download the message to your device as an .EML file;
  • Show/Hide Headers allows you to view the headers of the message;
  • Mark as Unread allows you to mark the message as unread;
  • Mark as Spam allows you to move the message to your Junk Mail folder;
  • Put in Folder allows you to move the message to another folder;
  • Next/Previous allows you to view the next or previous message.

If the message you are reading is not decoded properly, you can change the character encoding via the Encoding drop-down menu below the Subject of the message.

The process of replying to messages will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

If you want to respond to a message, follow these steps:

  1. Open the Mail task from the main menu.
  2. Select the folder containing the specific message from the folder list.
  3. Select the specific message from the message list.
  4. Click on the Reply button from the top toolbar.

This will open the Compose screen with the subject of the original message with a Re: prefix, the body of the original message quoted in your message, and the sender of the original message added as a recipient in the To: field of your message.

If you click on the Reply-All button, on top of the Reply button behavior, any additional recipients of the original message from the To and Cc headers will be added to the To: and Cc: fields of your message.

Webmail Classic

To compose a reply to a message via Webmail Classic, you should:

  1. Select the Inbox tab from the main menu.
  2. Click on the folder containing the specific message from the Folder Status section (folder list).
  3. Read the message by clicking on the sender’s name/e-mail address or on the subject of the message.
  4. Click on the Reply button.

This will open the Compose page with the original message quoted in the Message field and the sender of the original message filled in the To: field.

If you wish to compose a reply to all the email addresses from the From, To, and Cc headers of the original message, use the Reply All button on step #4.

The process of forwarding messages will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Roundcube

You can forward messages from one recipient to another in Roundcube by following these steps:

  1. Open the Mail task from the main menu.
  2. Select the folder containing the specific messages from the folder list.
  3. Select the specific messages from the message list.
    Note: You can select multiple messages using the Ctrl (or ⌘ Command if you use a Mac keyboard) and ⇧ Shift keys on your keyboard.
  4. Click on the Forward button from the top toolbar to forward a single message inline or to forward multiple messages as attachments. To forward a single message as an attachment, click on the downward pointing triangular arrow next to the Forward button and select the Forward as attachment option.

When you forward messages inline, the headers, content and the attachments of the original message will be added to your message. Some HTML formatted messages may get reformatted or truncated if forwarded inline.

If you forward e-mail messages as attachments, they will be added to your message as attachments, and their original formatting will be preserved.

Webmail Classic

To forward a single message to another e-mail address via Webmail Classic, you should:

  1. Select the Inbox tab from the main menu.
  2. Click on the folder containing the specific message from the Folder Status section (folder list).
  3. Select the checkbox in front of the specific message from the message list, or read the message by clicking on the sender’s name/e-mail address or on the subject of the message.
  4. Click on the Forward button from the menu.

This will open the Compose page with the original message quoted in the Message field. You can add your own comments to the message you are about to forward. All files attached to the original message will be automatically attached to the new message as well.

If you want to forward the whole message as an attachment, you should click on the Forward as Attachment button in step #4. This will open the Compose page, and the original message will be added as an attachment to your new message.

Note: The original message may not be quoted if the Quote with ‘>’ the original message setting is disabled for your mailbox in Webmail Classic.

Note: There is no file size limit for messages and attachments sent through our mail servers, excluding the Roundcube webmail client that has a file size limit for attachments of 60 MB due to performance considerations. In general, attaching files larger than 15 MB is not recommended as most third-party mail servers reject messages with large attachments, and your message may not reach the intended recipient/s. If you need to share files larger than 15 MB, you can upload them to your hosting account, and send links to the file to the recipient/s.

The process of adding attachments will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic
Roundcube

You can attach files when composing a message by clicking on the Attach button from the top toolbar or the Attach a file button from the file upload box on the right side of the message body field. After that, select the files you wish to attach to the message.

Alternatively, if you use a modern browser with HTML5 support, you can drag the files from your device and drop them directly on the file upload box.

Webmail Classic

To attach a file to a message you are composing via Webmail Classic, you should:

  1. Click on the Add/Edit Attachments button to open the Add/Edit Attachments page.
  2. Click on the Browse/Choose file button to select the file that you wish to upload to the message from your device.
  3. To attach the file to your message, click on the Attach button.
    Note: Repeat steps #2 and #3, if you wish to upload additional files to your message.
  4. Once you are ready, click on the OK button to return to the Compose page. The names of the attached files will be listed next to the Add/Edit Attachments button.

If you wish to remove an attachment from a message you are composing, you need to:

  1. Click on the Add/Edit Attachments button to open the Add/Edit Attachments page.
  2. Click on the Remove button next to the attachment that you wish to remove.

Note: Deleted messages will be moved to the Trash folder (default), marked for deletion, or deleted permanently depending on your message deletion settings configured in the webmail client.

The process of deleting messages will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic
Roundcube

To delete messages in Roundcube, you need to:

  1. Open the Mail task from the main menu.
  2. Select the folder containing the specific messages from the folder list.
  3. Select the specific messages from the message list.
    Note: You can select multiple messages using the Ctrl (or ⌘ Command if you use a Mac keyboard) and ⇧ Shift keys on your keyboard.
  4. Click on the Delete button from the top toolbar or press the Del key on your keyboard to delete the selected messages. If you hold the ⇧ Shift key on your keyboard while deleting the messages, the default delete behavior will be ignored, and the selected messages will be permanently deleted.

Webmail Classic

To delete a single message via Webmail Classic, you should:

  1. Select the Inbox tab from the main menu.
  2. Click on the folder containing the specific message from the Folder Status section (folder list).
  3. Read the message by clicking on the sender’s name/e-mail address or on the subject of the message.
  4. Click on the Delete button from the menu.
  5. Click on the OK button from the pop-up confirmation window that appears.

To delete multiple messages at once, you should select the checkboxes on their left side from the message list and select the destination folder from the Put in Folder drop-down menu. You can use this method to delete single messages as well. If you wish to select all the messages displayed in the message list, you should select the topmost checkbox.

You can delete multiple messages at once by following these steps:

  1. Select the Inbox tab from the main menu.
  2. Click on the folder containing the specific messages from the Folder Status section (folder list).
  3. Select the checkboxes in front of the specific messages from the message list. If you wish to select all the messages displayed in the message list, you should select the topmost checkbox.
  4. Click on the Delete button from the menu.
  5. Click on the OK button from the pop-up confirmation window.

The process of moving messages to folders will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic
Roundcube

To move messages from one folder to another in Roundcube, you need to:

  1. Open the Mail task from the main menu.
  2. Select the folder containing the specific messages from the folder list.
  3. Select the specific messages from the message list.
    Note: You can select multiple messages using the Ctrl (or ⌘ Command if you use a Mac keyboard) and ⇧ Shift keys on your keyboard.
  4. Drag the messages from the message list, and drop them on the destination folder in the folder list. If the destination folder is a subfolder that is not currently visible, hold your mouse over its parent folder to get its subfolders displayed. To save a copy of the selected messages in the destination folder, press the ⇧ Shift key on your keyboard while dropping the messages on the destination folder, and select the Copy option from the menu that appears.
    Alternatively, you can click on the More button from the top toolbar, select the Move to… option (if you wish to copy the selected messages, choose the Copy to… option), and specify the destination folder.

Webmail Classic

If you wish to move a single message via Webmail Classic, you should:

  1. Select the Inbox tab from the main menu.
  2. Click on the folder containing the specific message from the Folder Status section (folder list).
  3. Read the message by clicking on the sender’s name/e-mail address or on the subject of the message.
  4. Select the destination folder from the Put in Folder drop-down menu.
  5. Click on the OK button from the pop-up confirmation window.

You can also move multiple messages at once by following these steps:

  1. Select the Inbox tab from the main menu.
  2. Click on the folder containing the specific messages from the Folder Status section (folder list).
  3. Select the checkboxes in front of the specific messages from the message list. If you wish to select all the messages displayed in the message list, you should select the topmost checkbox.
  4. Select the destination folder from the Put in Folder drop-down menu.
  5. Click on the OK button from the pop-up confirmation window.

The process of downloading messages will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic
Roundcube

To download a message via Roundcube, follow these steps:

  1. Open the Mail task from the main menu.
  2. Select the folder with the specific message from the folder list.
  3. Select the message from the message list.
  4. Click on the More button from the top toolbar.
  5. Select the Export option in the Elastic theme or the Download (.eml) in the Larry theme.
  6. A new window will pop up allowing you to specify the location on your computer where the file will be saved.

Webmail Classic

To download a message via Webmail Classic, you should:

  1. Select the Inbox tab from the main menu.
  2. Click on the folder containing the specific message from the Folder Status section (folder list).
  3. Read the message by clicking on the sender’s name/e-mail address or on the subject of the message.
  4. Click on the Download button from the menu.
  5. A new window will prompt where you can choose to download the message as an .EML file on your device.

The process of searching messages will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

You can refer to the following excerpt from the Searching Email Messages article from Roundcube’s official documentation for more details on how to search messages and the available search options in Roundcube:

For searching email messages, first select the folder you want to search in the Mailbox folders list on the left. Then enter the search term into the search box above the message list and press <Enter> on your keyboard to start the search. Search results will be displayed in the message list.

Reset the search by clicking the Reset search icon on the right border of the search box. Switching to another folder will also reset the search and clear the search box.

Choose what parts to search

Open the search options menu by clicking the search icon left in the search box. You can select which parts of the message should be searched for the entered term. Check Entire message to search them all.

You can also type specific search criteria directly into the box, such as “from:Scott” or “subject:Conference.” Supported criteria keywords are:

• from:
• to:
• cc:
• bcc:
• subject:
• body:

Choose where to search

Also, located in the search options menu, the “Scope” selector controls whether messages are searched in the currently selected folders, including subfolders or across all folders. If a search query is already active, changing the scope in this menu will immediately execute the search again and update the results in the message list.

Message List Filters

The drop-down menu next to the search box offers some predefined filters to quickly reduce the messages listed to their status or priority.

The filter rules selected here are applied in addition to the search term entered in the search box. For example, you can choose to only list unanswered messages from Paul by selecting the filter Unanswered and enter “from:Paul” in the search box.

The message filters also depend on the “Scope” selected in the search options menu. Change the scope if you want to expand the active filter to list matching messages from all folders.

Webmail Classic

Webmail Classic allows you to search for messages via two search forms – Keyword Search and Advanced Search.

The Keyword Search form is conveniently located at the top left side of the message list. It allows you to quickly search for messages that contain specific words or phrases. You can use the following criteria to refine your search:

  • Search string allows you to specify the string you want to search for in your messages.
  • Folder allows you to select in which folders you want to search. The available options are: all folders, Inbox (default), Drafts, Junk Mail, Sent, Trash, and any other folders you have created.
  • Time period allows you to search for messages based on their received/sent dates. The available options are: for the past month, for the past 3 months, for the past 6 months (default), for the past year, any time.
  • Message size allows you to search for messages based on their size (disk space). The available options are: smaller than 25 MB (default) and any message size.

The Advanced Search form provides more search options and can be quickly accessed via the Advanced Search link located at the bottom of the Keyword Search form. This form allows you to use the following criteria to refine your searches:

  • FromToSubject, and Message allow you to specify whether the sender, recipient, message subject, or the whole message should or should not contain a specific string (word or phrase).
  • Date allows you to search for messages based on their received/sent dates. The available options are: for the past month, for the past 3 months, for the past 6 months (default), for the past year, any time. You can also select a time interval manually using the available date picking forms. Additionally, you can select the “Use the timestamp from the date header instead of the message arrival time” checkbox if you want to use the timestamp from the date message header instead of the arrival time.
  • Search in allows you to search in read, unread, or all messages (default).
  • Message size allows you to search for messages based on their size (disk space). The available options are: smaller than 25 MB (default) and any message size.
  • Folder allows you to select in which folders you want to search via checkboxes. The Inbox folder is selected by default.

For searching email messages, first select the folder you want to search in the Mailbox folders list on the left. Then enter the search term into the search box above the message list and press <Enter> on your keyboard to start the search. Search results will be displayed in the message list.

Reset the search by clicking the Reset search icon on the right border of the search box. Switching to another folder will also reset the search and clear the search box.

Choose what parts to search

Open the search options menu by clicking the search icon left in the search box. You can select which parts of the message should be searched for the entered term. Check Entire message to search them all.

You can also type specific search criteria directly into the box, such as “from:Scott” or “subject:Conference.” Supported criteria keywords are:

• from:
• to:
• cc:
• bcc:
• subject:
• body:

Also, located in the search options menu, the “Scope” selector controls whether messages are searched in the currently selected folders, including subfolders or across all folders. If a search query is already active, changing the scope in this menu will immediately execute the search again and update the results in the message list.

Message List Filters

The drop-down menu next to the search box offers some predefined filters to quickly reduce the messages listed to their status or priority.

The filter rules selected here are applied in addition to the search term entered in the search box. For example, you can choose to only list unanswered messages from Paul by selecting the filter Unanswered and enter “from:Paul” in the search box.

The message filters also depend on the “Scope” selected in the search options menu. Change the scope if you want to expand the active filter to list matching messages from all folders.

Webmail Classic

Webmail Classic allows you to search for messages via two search forms – Keyword Search and Advanced Search.

You can manage your folders by opening the Settings task from the main menu and selecting the Folders setting.

Here is an excerpt from the Managing Folders article from Roundcube’s official documentation for more information about the folder management screen:

This section of the settings task allows you to manage the tree of mailbox folders.

The hierarchical folder tree is displayed in the middle list widget where you can select a single folder by clicking it. Folder information and some settings then appear in the right properties pane.

There might be folders which are grayed out and which cannot be edited nor deleted or renamed. Such folders are “virtual” folders which are only there for structuring but which cannot contain any messages.

Some Special System Folders cannot be renamed or unsubscribed because they have special purposes and are used by system processes.

Webmail Classic

To manage your mailbox folders via Webmail Classic, you should click on the Manage Folders button near the bottom of the Folder Status section (folder list). A new Manage Folders page will open where you will be presented with a list of your mailbox folders. Next to each folder, you will find its total disk space usage and the total number of messages.

You can manage the folders from the folder list by selecting the checkbox next to them and using the buttons at the bottom of the page.

The process of creating new mailbox folders will vary depending on your webmail client of choice:

  • Webmail Classic

Roundcube

You can create mailbox folders in Roundcube by following these steps:

  1. Open the Settings task from the main menu.
  2. Select the Folders setting from the Settings task.
  3. This step is optional. If you wish the new folder to be a subfolder of another folder, select the parent folder from the folder list.
  4. Click on the Create button from the top toolbar in the Elastic theme or the + button from the folder list footer in the Larry theme.
  5. Enter a name for the new folder in the Folder name field, and select the parent folder or change it if you have already selected it in step #3.
  6. Click on the Save button.

Webmail Classic

To create a new mailbox folder via Webmail Classic, you should:

  1. Click on the Create New Folder button at the bottom of the Folder Status section (folder list).
  2. A new Create New Folder page will open where you will be presented with a form that contains two fields:
    • New Folder Name allows you to specify the name of the new folder. Mailbox folder names cannot contain the following symbols: dot (.), slash (/), or opening and closing square brackets ([]).
    • Subfolder of allows you to select the parent folder of the new folder. By default, new folders are created as subfolders of the Inbox folder. The names of non-Inbox subfolders will contain the name of the parent folder as a prefix in the folder list. In example, a subfolder named “subfolder” with a parent folder named “folder” will be displayed as “folder.subfolder” in the folder list.
  3. Click on the Create button once you have specified the name and selected the subfolder setting for your new mailbox folder, and it will appear in the folder list.

Note: The Inbox, Drafts, Sent, Junk Mail, and Trash folders cannot be renamed.

Roundcube

You can rename mailbox folders in Roundcube by following these steps:

  1. Open the Settings task from the main menu.
  2. Select the Folders setting.
  3. Select the folder that you wish to rename from the folder list and information about the folder will appear in the right pane.
  4. Enter the new name of the folder in the Folder name field.
  5. Click on the Save button to rename the folder.
Webmail Classic

To rename a mailbox folder via Webmail Classic, you should:

  1. Click on the Manage Folders button near the bottom of the Folder Status section (folder list) to access the Manage Folders page.
  2. Select the checkbox next to the folder you wish to rename.
  3. Enter the new folder name in the field next to the Rename to button.
  4. Click on the Rename to button to finish the renaming process.

Note: You cannot use the following symbols as part of folder names: dot (.), slash (/), as well as opening and closing square brackets ([]).

Roundcube

You can empty the Junk Mail and Trash mailbox folders in Roundcube from the folder list by following these steps:

  1. Open the Mail task from the main menu.
  2. Select the Junk Mail or Trash folder from the folder list.
  3. Click on the vertical ellipsis symbol () from the header of the folder list in the Elastic theme or the gear icon from the footer of the folder list in the Larry theme.
  4. Select Empty from the menu to empty the selected folder.

If you wish to empty another mailbox folder with Roundcube, you should:

  1. Open the Settings task from the main menu.
  2. Select the Folders setting.
  3. Select the folder that you wish to empty from the folder list.
  4. Click on the Empty button from the top toolbar in the Elastic theme, or click on the gear icon from the footer of the folder list and select the Empty option in the Larry theme.
  5. Click on the Delete button in the confirmation window that appears to delete all the messages from the selected folder.
Webmail Classic

Emptying the Junk Mail and Trash mailbox folders can be achieved very easily via Webmail Classic. All you need to do is:

  1. Click on the empty button next to these folders from the Folder Status section (folder list)
  2. Click on the OK button in the pop-up confirmation window.

You can also choose another or multiple folders to empty by following these steps:

  1. Click on the Manage Folders button near the bottom of the Folder Status section (folder list) to access the Manage Folders page.
  2. Select the checkboxes next to the folders you wish to empty.
  3. Click on the Empty button.
  4. Click on the OK button from the pop-up confirmation window to delete all messages from the selected folders.

Note: Compacting (purging) mailbox folders is required only if you manage your mailbox via an e-mail application that is configured to flag/mark messages as deleted instead of moving them to the trash folder or deleting them permanently.   • Webmail Classic

Roundcube

You can compact (purge) a mailbox folder in Roundcube by following these steps:

  1. Open the Mail task from the main menu.
  2. Select the folder that you wish to compact from the folder list.
  3. Click on the “Folder actions” button represented by a vertical ellipsis symbol (⋮) in the Elastic theme or a gear icon in the Larry theme.
  4. Select the Compact option from the menu to delete the messages that were marked for deletion.

Note: You can automatically compact your Inbox folder upon logout by enabling the Compact Inbox on logout setting in Roundcube. Additional details are available in our the Configuring message deletion settings article.

Webmail Classic

To compact (purge) a mailbox folder via Webmail Classic, you should:

  1. Open the folder by clicking on its name from the Folder Status section (folder list).
  2. Select the Purge option from the Folder actions drop-down menu.
  3. Click on the OK button from the confirmation window to remove the messages flagged for deletion from the selected folder.

If you wish to compact (purge) multiple mailbox folders at once, follow these steps:

  1. Click on the Manage Folders button near the bottom of the Folder Status section (folder list) to access the Manage Folders page.
  2. Select the checkboxes next to the folders you wish to compact.
  3. Click on the Purge button to delete the messages that were marked for deletion in the selected folders.

Note: The Inbox, Drafts, Sent, Junk Mail, and Trash folders cannot be deleted.

Roundcube

To add an email address and its display name (if such is added by the sender) to your address book when reading a message, you should click on the email address and select the Add to address book option from the menu that appears in the Elastic theme or click on the Add to address book icon next to the email address in the Larry theme.

You can also create new contacts from scratch by following these steps:

  1. Open the Contacts task from the main menu.
  2. Click on the Create button from the top toolbar in the Elastic theme or the + button from the footer of the contacts list in the Larry theme.
  3. Enter the main details for the contact (picture, names, organization, etc.) in the top part of the contact details section. The lower part of the section allows you to add other information for the contact in three tabs – Properties (e-mail, phone, address, website, IM), Personal information (gender, birthday, etc.), and Notes.
  4. Click on the Save button to create the contact.

Webmail Classic

To add contacts to your address book through the Message List section, follow these steps:

  1. Select the checkbox next to the e-mail message that was sent from the email address you wish to add as a contact to your address book.
  2. Click on the Add to Addr. Book button from the Message List Operations menu.
  3. A pop-up window will appear asking for your confirmation. Click on the OK button, and the e-mail address of the sender will be added to your address book.

You can also add contacts to your address book while reading a message by clicking on the Add to Address Book button next to an e-mail address from the To: or Cc: fields, and the e-mail address and its display name (if such is added by the sender) will be added to your address book.

If you wish to add a new contact altogether, you need to:

  1. Click on the Address Book tab from the main menu.
  2. Click on the Create button.
  3. A new page will open with the multiple fields allowing you to add information for the contact:

    • Name allows you to set the contact display name.
    • E-mail Address allows you to set the contact email address.
    • Group allows you to add the contact to one or multiple contact groups. You can assign a contact to multiple groups using the Ctrl (or ⌘ Command if you use a Mac keyboard) and ⇧ Shift keys on your keyboard.
    • Address allows you to enter a postal address for the contact. This field is optional.
    • Phone allows you to enter a phone number for the contact. This field is optional.
    • Notes allows you to add custom notes for the contact. This field is optional.



    Additionally, you can use the Automatic Move to Folder drop-down menu below the contact information fields to move messages from this contact to a specific folder automatically.

  4. Click on the Create button.

Roundcube

Contacts can be imported into the Roundcube address book from vCard and CSV files.

You can import contacts to your address book in Roundcube by following these steps:

  1. Open the Contacts task from the main menu.
  2. Click on the Import button from the top toolbar.
  3. Select the vCard or CSV file you wish to import from your device.
  4. Select the address book where the contacts should be imported.
  5. Set the Import group assignments setting to your liking. The available options are: NoneAll (create groups if necessary), and Only for existing groups.
  6. Select the Replace the entire address book checkbox if you wish to remove your current address book contacts before the import takes place.
  7. Click on the Import button to start the importing process.
  8. Once the importing process has finished, the result will be displayed. Click on the Cancel button to get back to your contacts list.

Webmail Classic

You can import contacts from CSV files in Webmail Classic.

To import contacts to your address book in Webmail Classic, you have to:

  1. Click on the Address Book tab from the main menu.
  2. Click on the CSV Import-Export button.
  3. Select the CSV file you wish to import from your device via the Choose a file to import field from the Import from CSV file section.
  4. To finish the importing process, click on the Import button.

The contact details in the CSV file should be set in the following format for the import to be successful:

Name;E-mail;Address;Phone;Notes;Group

You will need to replace NameEmailAddressPhoneNotes, and Group with the display name, e-mail address, phone number, notes, and group of the specific contact. The values must be separated with the semicolon symbol (;), and the details of each contact should be entered on a separate line (row).

Note: You can only import contacts to groups that already exist, so make sure you add the necessary groups in advance.

The process of editing contacts will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic
Roundcube

To edit an existing contact, you need to:

  1. Open the Contacts task from the main menu.
  2. Select the specific contact from the contacts list.
  3. Click on the Edit button in the Elastic theme or the Edit contact button in the Larry theme from the contact details section.
  4. Update the details for the specific contact as necessary.
  5. Clicking on the Save button to save the changes.

Webmail Classic

To edit an existing contact in Webmail Classic:

  1. Click on the Address Book tab from the main menu.
  2. Click on any of the details (Name, E-mail, Group, Filter) or the edit link for the respective contact.
  3. A new page will open, containing the fields available when creating a new contact (NameE-mail AddressGroupAddressPhone, and Notes). Update the details for the contact as necessary.
  4. Click on the Update button to save the changes.

The process of exporting contacts will vary depending on your webmail client of choice:

Contacts from Roundcube address books are exported in the vCard format only.

You can export all contacts from your address book in Roundcube by following these steps:

  1. Open the Contacts task from the main menu.
  2. Click on the Export button from the top toolbar.
  3. Choose where to save the exported .vcf file.

If you wish to export specific contacts from your address book you should:

  1. Open the Contacts task from the main menu.
  2. Select the contacts you wish to export.
    Note: You can select multiple contacts using the Ctrl (or ⌘ Command if you use a Mac keyboard) and ⇧ Shift keys on your keyboard.
  3. Select the Export selected option from the Export button’s menu from the top toolbar.
  4. Choose where to save the exported .vcf file.

Webmail Classic

To export all contacts from your address book:

  1. Click on the Address Book tab from the main menu.
  2. Click on the CSV Import-Export button.
  3. Select your desired format from the Export format field. You can choose from the following export format options:
    • Webmail allows you to import your contacts directly to Webmail Classic.
    • Gmail allows you to import your contacts to Gmail.
    • Other allows you to select the new line characters (based on operating system) and delimiter in the CSV file.
  4. Click on the Export button.
  5. A new window will pop up allowing you to specify the location on your computer where the file will be saved.

The process of deleting contacts will vary depending on your webmail client of choice:

  • Webmail Classic
Roundcube

If you wish to delete a contact from your address book in Roundcube, follow these steps:

  1. Open the Contacts task from the main menu.
  2. Select the specific contact from your address book.
  3. Click on the Delete button from the top toolbar in the Elastic theme or trash icon from the footer of the contacts list in the Larry theme.
  4. Click on the Delete button in the pop-up confirmation window.
Webmail Classic

To delete a contact from your address book in Webmail Classic:

  1. Click on the Address Book tab from the main menu.
  2. Select the checkbox in front of the contact you wish to delete.
  3. Click on the Delete button.
  4. To finish the deletion process, click on the OK button in the pop-up confirmation window.

If you wish to delete a contact from your address book in Roundcube, follow these steps:

  1. Open the Contacts task from the main menu.
  2. Select the specific contact from your address book.
  3. Click on the Delete button from the top toolbar in the Elastic theme or trash icon from the footer of the contacts list in the Larry theme.
  4. Click on the Delete button in the pop-up confirmation window.
Webmail Classic

To delete a contact from your address book in Webmail Classic:

  1. Click on the Address Book tab from the main menu.
  2. Select the checkbox in front of the contact you wish to delete.
  3. Click on the Delete button.
  4. To finish the deletion process, click on the OK button in the pop-up confirmation window.

The process of creating groups will vary depending on your webmail client of choice:

Roundcube

You can create a new contact group by following these steps:

  1. Open the Contacts task from the main menu.
  2. Select the Add group option from the groups list menu represented by a vertical ellipsis symbol () in the Elastic theme or click on the + icon from the groups list footer.
  3. A new pop-up window will appear. Enter the name for the new group.
  4. Click on the Save button.

Webmail Classic

To add a new contact group to your address book:

  1. Select the Address Book tab from the main menu.
  2. Click on the Group button from the menu above the contacts list.
  3. Enter the name of the group you want to create in Name field from the Add a new group section.
  4. Click on the Add button. The page will refresh, and your new group should be listed in the Defined groups section.

The process of renaming groups will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Note: The groups Personal Addresses in Roundcube and General in Webmail Classic are system groups and cannot be renamed or deleted.

Roundcube

If you want to rename a group in Roundcube, you need to:

  1. Open the Contacts task from the main menu.
  2. Select the group you wish to rename.
  3. Select the Rename option from the menu (vertical ellipsis icon (⋮) in the Elastic theme and gear icon in the Larry theme).
  4. A pop-up window will appear where you can change the group name.
  5. Click on the Save button to rename the group.
Webmail Classic

To rename a group in Webmail Classic:

  1. Select the Address Book tab from the main menu.
  2. Click on the Group button from the menu above the contacts list.
  3. In the Defined groups section, click on the edit link next to the group you want to rename.
  4. The page will refresh allowing you to enter the new group name in the Name field from the Edit a group section.
  5. Click on the Edit button to rename the group.

The process of adding and removing contacts from groups will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Note: One contact can be added to multiple groups.

Roundcube

You can add contacts to groups by following these steps:

  1. Click on the Contacts task from the main menu.
  2. Select the contacts you wish to add to a group.

    Note: You can select multiple contacts using the Ctrl (or ⌘ Command if you use a Mac keyboard) and ⇧ Shift keys on your keyboard.

  3. Drag the selected contacts from the contacts list, and drop them on top of the group where the contact should be assigned.

To remove contacts from a group:

  1. Click on the Contacts task from the main menu.
  2. Select the group that contains the contacts you wish to remove from the group list.
  3. Select the contacts you wish to remove from the group.
  4. Select Remove selected contacts from group from the More button at the top of the contacts list.

You can also add and remove contacts from groups when editing the specific contact. To do this:

  1. Open the Contacts task from the main menu.
  2. Select the Groups tab from the Contact Details section for the specific contact.
  3. Select the groups where the contact should be assigned.

To add or remove a contact from address book groups, you need to:

  1. Edit the specific contact by selecting the Address Book tab from the main menu and clicking on any of the details (Name, E-mail, Group, Filter) or the edit link for the respective contact.
  2. Select the groups where the contact should be assigned in the page that appears.

    Note: You can select multiple contacts using the Ctrl (or ⌘ Command if you use a Mac keyboard) and ⇧ Shift keys on your keyboard.

  3. Click on the Update button to save the changes.

If you wish to add multiple contacts to a group:

  1. Click on the Address Book tab from the main menu.
  2. Select the checkboxes next to the specific contacts.
  3. Select the group where the contacts should be added from the Put in Folder drop-down menu above the contacts list.
  4. Click OK in the pop-up confirmation window that appears.

The process of deleting groups will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Note: The groups Personal Addresses in Roundcube and General in Webmail Classic are system groups and cannot be renamed or deleted.

If you delete a group, the contacts in it will not get deleted.

Roundcube

If you want to delete a group in Roundcube, you need to:

  1. Open the Contacts task from the main menu.
  2. Select the group you wish to delete.
  3. Select the Delete option from the menu (vertical ellipsis symbol (⋮) in the Elastic theme or a gear icon in the Larry theme).
  4. A pop-up confirmation window will appear. Click on the Delete button to delete the group.
Webmail Classic

To delete a group in Webmail Classic:

  1. Select the Address Book tab from the main menu.
  2. Click on the Group button from the menu above the contacts list.
  3. Click on the delete link next to the group you want to delete from the Defined groups section.
  4. Click on the OK button in the pop-up confirmation window.

Note: When deleting a group in Webmail classic, the contacts in that group will be moved to the General group if they are not added to any other groups.

Sender identities allow you to specify your display name and e-mail address which the recipient will see in their mail program. Your actual e-mail address will always be visible (included) in the full headers of the message delivered to the recipient.

When composing a message in both webmail clients, you can select an identity via the From drop-down menu.

Note: Identities are not synchronized between Roundcube and Webmail Classic.

The process of adding and managing identities will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Roundcube

You can view and manage your identities in Roundcube by following these steps:

  1. Open the Settings task from the main menu.
  2. Select the Identities setting.

This will present you with a list of all identities for your mailbox. For each identity, you can specify a custom display name, e-mail, organization, signature, and Reply-to and Bcc headers that will be used when composing messages.

To add a new identity, click on the + Create button from top-right corner of the Identities section in the Elastic theme (or the + button from the Identities list footer in the Larry theme), enter the identity settings, and click on the Save button.

If you want to edit a specific identity, select it from the identities list, update the identity settings, and click on the Save button.

To set an identity as default for your mailbox, use the Set default checkbox/toggle button when editing the identity.

To delete a specific identity, select it from the identities list, click on the Delete button from top-right corner of the Identities section in the Elastic theme (or the trash icon from the Identities list footer in the Larry theme), and click on the Delete button from the pop-up confirmation window.

Webmail Classic

To manage your sender identities in Webmail Classic, you should:

  1. Click on the Options tab from the main menu.
  2. Go to Mail Identities.

There you will find a list of all identities added for your mailbox through Webmail Classic.

You can add a new identity through the Add a new identity section by specifying a display name and e-mail address, and clicking on the Add button.

To edit an identity, click on the edit link next to the specific identity from the identities list, change the display name and/or e-mail address from the Edit an identity section, and click on the Edit button.

Setting an identity as default is achieved by clicking on the set as default link next to the specific identity from the identities list.

If you wish to delete an identity, click on the delete link next to the identity.

You can change the passwords of your mailboxes via the hosting Control Panel, as well as via the Roundcube and Webmail Classic webmail clients. The process will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Roundcube

To change your mailbox password via Roundcube, follow these steps:

  1. Click on the Settings task from the main menu.
  2. Select the Password setting.
  3. Enter your current password in the Current Password field and your new password in the New Password and Confirm New Password fields.
    Note: You will notice that there is a password strength indicator below the New Password field. It will update in real time as you are entering your new password. There are five distinct levels of password strength: Very WeakWeakFairStrong, and Very Strong. Along with the password strength indicator, you will also get information and hints in a tooltip beside the indicator. Note that the Change button will remain inactive (grayed out) if the password level is Very Weak or Weak.
  4. Click on the Save button.
Webmail Classic

If you want to change your mailbox password via Webmail Classic, follow these steps:

  1. Click on the Options tab from the main menu.
  2. Go to the Change Password section.
  3. Enter your current password in the Old password field and your new password in the New password and Re-type password fields.
    Note: You will notice that there is a password strength indicator below the New Password field. It will update in real time as you are entering your new password. There are five distinct levels of password strength: Very WeakWeakFairStrong, and Very Strong. Along with the password strength indicator, you will also get information and hints in a tooltip beside the indicator. Note that the Change button will remain inactive (grayed out) if the password level is Very Weak or Weak.
  4. Click on the Change button.

The Roundcube and Webmail Classic webmail clients allow you to use a signature when composing e-mail messages.

The process of adding or modifying a signature will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Roundcube

Signatures in Roundcube are tied to identities, thus you can have a unique signature with each identity for your mailbox. To set or modify a signature in Roundcube, you need to:

  1. Open the Settings task from the main menu.
  2. Select the Identities setting.
  3. Select the identity to which you wish to add a signature.
  4. Enter your signature in the Signature field.
    Note: The signature field is in plain-text mode by default. You can switch to HTML mode by clicking on the landscape icon (at the top of the Signature field) in the Elastic theme or by selecting the HTML signature checkbox in the Larry theme.
  5. Click on the Save button to complete the process.

You can add images to your signature only in HTML mode. To add an image from your device to your signature, drag the image from your device and drop it in the Signature field. Alternatively, you can use the Insert/Edit Image button of the HTML editor to select an image from your device or specify the URL of an image.

Webmail Classic

Webmail Classic allows you to use a single signature with all identities when composing messages. To add or modify the signature in Webmail Classic, follow these steps:

  1. Click on the Options tab from the main menu.
  2. Go to General Options.
  3. Enter your signature in the Default signature field. You can enter plain text or HTML code.
  4. Select the signature format from the Signature control drop-down menu based on your signature content:
    • Treat as Plain Text – your signature will be appended to your messages as is (in plain text).
    • Treat as HTML Code – your signature will be converted to HTML when appended to your messages.
  5. Click on the Update button at the bottom of the page.

If you wish to add an image or link to your signature in Webmail Classic, enter the respective HTML code in the Default signature field, and select Treat as HTML Code from the Signature control drop-down menu.

You can use the following example HTML code to add an image to your signature:

<img src="http://example.com/example_image.jpg">

Note: Replace http://example.com/example_image.jpg with the URL of the specific image you wish to use.

To add a link to your signature, you can use this code:

<a href="http://example.com/">this is a link</a>

Note: Replace http://example.com/ with the exact URL you wish to link and this is a link with the text of your link.

The time zone in the webmail clients allows you to view the time and dates in messages in your local time zone. By default, both webmail clients are configured to detect your time zone automatically from your device.

The time and date format options allow you to change how the time and date will be displayed in the webmail clients.

Depending on your webmail client of choice, the process of changing your time zone, time format, and date format will vary:

  • Roundcube
  • Webmail Classic

Roundcube

To change the time zone, time format, and date format, you need to open the Settings task from the main menu, select the Preferences setting, and select the User Interface option from the preferences list. There you will find a drop-down menu with the available options for each setting.

The following options are available in the Time format drop-down menu: 24-hour or 12-hour (AM/PM) with or without a leading zero.

The Date format drop-down menu allows you to choose from the following date formats:

  • 2002-07-31
  • 2002/07/31
  • 2002.07.31
  • 31-07-2002
  • 31/07/2002
  • 31.07.2002
  • 31.7.2002

By default, dates close to today will be converted to Today, Yesterday, etc. You can turn this feature off via the Pretty dates checkbox below the Date format drop-down menu.

Webmail Classic

If you wish to change the time zone, time format, and date format in Webmail Classic, you need to:

  1. Select the Options tab.
  2. Select the General Options option.

A drop-down menu is available for each of the settings.

You can choose from the following date formats via the Date format drop-down menu: Day/Month/Year, Month/Day/Year, or Year/Month/Day.

The Time format has the following time formats available: 24-hour or 12-hour (AM/PM).

The Roundcube and Webmail Classic webmail clients (like most third-party e-mail clients) allow you to adjust various settings to change the default look, feel, and behavior. Since the supported webmail clients are not identical, some settings may not be available on both of them.

The most commonly modified settings can be changed in both webmail clients. Here is a list of tutorials for a few of them:

  • Changing your mailbox password
  • Managing (sender) identities
  • Adding/editing a signature
  • Configuring time zone, and time and date formats
  • Changing the default character encoding and displaying of remote resources/images
  • Configuring message deletion settings
  • Sending a blind copy of all outgoing messages to another e-mail address
  • Managing SpamAssassin
  • Filtering incoming messages (e-mail/header filters)
  • Forwarding specific incoming messages (e-mail filter example)
  • Forwarding all incoming messages to another e-mail address
  • Configuring an e-mail autoresponder (automatic reply)

You can configure both webmail clients to automatically set an e-mail address in the Bcc header for all outgoing messages, so that e-mail address will receive a copy of the messages without their e-mail address being disclosed to the other recipients.

Note: This feature will work only for messages sent through the webmail client where it is enabled.

The process of enabling this feature will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Roundcube

In Roundcube, you can configure the ability to automatically send a copy of your outgoing messages to another e-mail address per identity.

To enable this feature for messages sent with a specific identity, you need to:

  1. Open the Settings task from the main menu.
  2. Select the Identities setting.
  3. Select the specific identity from the identities list.
  4. In the Bcc field, enter the e-mail address/es that should receive a copy of the outgoing messages sent with the selected identity
Webmail Classic

If you wish to send a copy of all messages sent from your mailbox through Webmail Classic to another e-mail address, follow these steps:

  1. Click on the Options tab from the main menu.
  2. Go to General Options.
  3. Enter the e-mail address/es that should receive a copy of all outgoing messages sent from this mailbox in the Send a blind copy of outgoing messages to this address field.
    Note: You can enter multiple e-mail addresses by using the comma (,) symbol as a separator.

You can change the default character encoding (UTF-8) and toggle the displaying of remote resources/images in Roundcube and Webmail Classic.

The process will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Roundcube

To change the default character encoding or toggle the displaying of remote resources/images in Roundcube, you need to open the Settings task from the main menu, select the Preferences setting, and select the Displaying Messages option.

The  drop-down menu from the Advanced Options subsection allows you to choose another character set as default for messages without a defined character set.

The Allow remote resources (images, styles) drop-down menu allows you to specify how Roundcube should handle remote resources. You can choose from the following options: never, from known senders (default), and always.

In Roundcube, you can also use the Display HTML and Display attached images below the message checkboxes to enable or disable the HTML formatting when reading messages or the displaying of attached images below a message you are reading. These options are enabled by default. If you prevent HTML formatting, you will view the content of messages in plain text. You can enable HTML formatting for a particular message via the Display in HTML format button labeled HTML (with a landscape icon in front of it) below the message headers in the Elastic theme or labeled <> on the right of the message headers in the Larry theme.

Webmail Classic

You can select the default character encoding or toggle the displaying of remote resources/images in Webmail by clicking on the Options tab from the main menu and going to General Options.

Use the Default encoding drop-down menu if you wish to change the default character encoding (UTF-8) for all messages. If a specific message that you are reading is not decoded properly, you can change the character encoding for it temporarily via the Encoding drop-down menu below the Subject of the message.

The Display external HTML graphics drop-down menu allows you to enable or disable the display of images that are not attached to the message, but are hosted on third-party servers.

When deleting a message via Roundcube or Webmail Classic, it will be moved to your Trash mailbox folder by default. You can change this behavior by changing your message deletion settings. The process will vary depending on your webmail client of choice:

  • Roundcube
  • Webmail Classic

Roundcube

To configure your message deletion settings in Roundcube, you need to open the Settings task from the main menu, select the Preferences setting, and select Server Settings.

There you will find the following message deletion settings which are disabled by default:

  • Mark the message as read on delete allows you to mark messages as read upon deletion.
  • Flag the message for deletion instead of delete allows you to mark the message for deletion instead of moving it to the trash folder. If this option is enabled, you will need to compact your mailbox folders to delete the messages marked for deletion in them.
  • Do not show deleted messages allows you to choose if messages that are marked for deletion should be visible or not in your mailbox folders.
  • Directly delete messages in Junk allows you to permanently delete messages from your Junk Mail folder instead of moving them to your Trash folder.
  • Clear Trash on logout allows you to clear the Trash folder automatically upon logout.
  • Compact Inbox on logout allows you to compact your Inbox folder automatically upon logout.

Webmail Classic

If you wish to change the default message deletion behavior in Webmail Classic, click on the Options tab from the main menu, go to General Options, and select your preferred option from the Delete options drop-down menu. The available options are:

  • Move to Trash will move deleted messages to your Trash folder. This is option is selected by default.
  • Delete permanently will delete messages from your mailbox permanently.
  • Mark as Deleted will only mark the message for deletion. If you use this option, you will need to compact your mailbox folders to delete the messages marked for deletion in them.

SpamAssassin is a very powerful filter, you can learn more about it in our SpamAssassin article.

You can manage the SpamAssassin settings for your mailbox by opening the Settings task in Roundcube or the Options tab in Webmail Classic from the main menu, going to E-mail Filters, and using the SpamAssassin subsection.

Since the SpamAssassin management interface in the webmail clients is identical to the one available in the Mail Manager section of the hosting Control Panel, you can refer to our Enable SpamAssassin article for instructions on how to enable and manage your SpamAssassin settings. The only difference in the SpamAssassin management interface between the webmail clients and hosting Control Panel is that SpamAssassin can be disabled only through the hosting Control Panel.

When SpamAssassin is enabled for your mailbox, you can take advantage of its white and black listing feature. You can manage your white and black lists in both webmail clients by clicking on the Manage button next to SpamAssassin White and Black listing from the E-mail Filters section. More details on this feature are available in our White and Black listing section article. Both webmail clients allow you to filter incoming e-mail messages based on the content of their headers.

You can manage your mailbox header filters by opening the Settings task in Roundcube or the Options tab in Webmail Classic from the main menu, going to E-mail Filters, and using the Mail Filtering subsection.

Since the header filters management interface in the webmail clients is identical to the one available in the Mail Manager section of the hosting Control Panel, you can refer to our Adding header filters article for instructions on how to add and use header filters. You can find a detailed explanation on the available header filter options in our Header filters article.

A step-by-step tutorial on how to set up an email filter that forwards specific messages to another e-mail address is available in our Forwarding specific incoming messages (e-mail filter example) article.

You can forward specific incoming e-mail messages based on their headers using e-mail filters.

If you wish to forward incoming messages from a specific e-mail address to another recipient, you need to:

Note: Replace mailboxname@example.com with your e-mail address, and newrecipient@example.com with the e-mail address where the message should be forwarded.

  1. Access the header filters management screen by opening the Settings task in Roundcube or the Options tab in Webmail Classic from the main menu, going to E-mail Filters, and using the Mail Filtering subsection.
  2. Select Forward to from the first drop-down menu.
  3. Select From from the second drop-down menu.
  4. Enter your e-mail address in the contains field.
  5. Enter the e-mail address of the new recipient (where the message should be forwarded) in the E-mail field.
  6. Click on the Add button.

The new filter will be listed under the Active Filters list from the Mail Filtering subsection. If your e-mail address is mailboxname@example.com and the e-mail address of the new recipient is newrecipient@example.com, the e-mail filter will be listed as follows:

Action, Field Match String
Forward mail to newrecipient@example.com if from mailboxname@example.com (delete)

 

If you wish to forward all incoming messages to your mailbox, please refer to our Forwarding all incoming messages to another e-mail address article.

Both webmail clients allow you to forward or send a copy of all incoming e-mail messages to another e-mail address.

You can manage your mailbox forwarding settings by opening the Settings task in Roundcube, or the Options tab in Webmail Classic from the main menu, and going to E-mail Forwarding.

Since the e-mail forwarding interface in the webmail clients is almost identical to the one available in the Mail Manager section of the hosting Control Panel, you can refer to our Configure forwarding article for instructions on how to use the e-mail forwarding interface and its settings. The only difference is that Show forwarding menu in Webmail options setting is only available in the e-mail forwarding interface of the hosting Control Panel.

If you do not wish to forward only specific messages to another e-mail address, please refer to our Forwarding specific incoming messages (e-mail filter example) article.

Both webmail clients allow you to enable and configure an e-mail autoresponder (automatic replies).

You can manage your mailbox autoresponder settings by opening the Settings task in Roundcube, or the Options tab in Webmail Classic from the main menu, and going to E-mail Autoresponder.

Since the e-mail autoresponder interface in the webmail clients is almost identical to the one available in the Mail Manager section of the hosting Control Panel, you can refer to our Setting up an Autoresponder/Vacation message article for instructions on how to use the e-mail autoresponder interface. The only difference is that Reload the text as feature is only available in the autoresponder interface of the hosting Control Panel.
